Quick Tip: Adjusting Working Hours in Availability Export
Posted: July 19, 2026 · 1 min read
The default is 9-5. Yours probably is not.
manyCalendars's availability export defaults to showing free slots between 9:00 AM and 5:00 PM. But if you are a consultant working with clients across timezones, or a contractor who prefers early mornings or late evenings, the default window might not match your reality.
To adjust it: open Settings, find "Working Hours" under the Availability section, and set your preferred start and end times. The availability export will only show free slots within that window. Meetings outside your working hours are ignored.
Narrowing hours for specific clients
Not every client gets the same availability window. You might be willing to take calls from 8 AM to 6 PM for your primary client but only 10 AM to 3 PM for a smaller retainer. Before generating an availability export, adjust the working hours to match the window you want that specific client to see. It takes five seconds and prevents a client from booking a 7 AM call that you technically can do but would rather not.
The timezone trick for international clients
If your client is in London and you are in New York, sharing availability in your timezone forces them to do mental math. Instead, temporarily set your working hours to the overlap window expressed in your local time. If you are available 9 AM-5 PM ET and they work 9 AM-5 PM GMT, the overlap is 9 AM-12 PM ET. Set that as your working hours, generate the export, and your client sees only the slots that work for both of you. No timezone confusion. No 6 AM meeting surprises.
Small adjustment, big difference. Your availability should reflect when you actually want to take meetings, not when a default says you should. manyCalendars puts you in control of every hour you share.
