Calendar Hygiene: The Monthly Cleanup Routine

Your calendar is infrastructure. Treat it like one.
You would not run a production server without regular maintenance. Logs pile up, certificates expire, disk space fills. Your calendar system has the same failure modes. Stale feeds, dead recurring meetings, outdated working hours. Left unattended, these create silent problems that surface at the worst possible time: the morning of a client presentation.
A monthly calendar cleanup takes 15 minutes. The confidence it buys you lasts all month. Here is the checklist.
Step 1: Remove calendars you no longer need
Contracts end. Clients move on. But their calendars linger in your setup like furniture from a previous apartment. Every stale calendar adds visual noise and increases the surface area for phantom conflicts.
Open manyCalendars and review your calendar list. For each one, ask: am I actively working with this client? If the answer is no, remove it. You can always re-add it later if the engagement resumes. A lean calendar stack is a fast calendar stack.
Step 2: Verify your ICS feeds are still active
ICS feed URLs can break silently. The IT admin rotates a token, the calendar platform changes its URL structure, or the feed gets disabled as part of a security audit. manyCalendars will keep showing the last-fetched events without warning you that the source went dark.
For each ICS feed, check the last-updated timestamp. If it has not refreshed in over 24 hours, something is wrong. Open the source calendar directly and re-export the ICS URL. Replace the old one in manyCalendars. Five minutes now prevents a missed meeting next Tuesday.
Step 3: Confirm Tab Sync is pulling correctly
Tab Sync depends on the calendar tab being open and loaded in the correct view. Over time, tabs get closed, browsers restart, or the calendar UI changes after an update.
For each synced calendar, open the source tab. Make sure it is in week view (not month view, where individual events may be collapsed). Navigate to the current week. Then refresh manyCalendars and confirm events are appearing. If they are not, the troubleshooting guide covers the common fixes.
Step 4: Audit your recurring meetings
Recurring meetings are the weeds of any calendar. They self-propagate indefinitely. That weekly sync with a project team that shipped three months ago? Still blocking 30 minutes every Thursday. The bi-weekly 1:1 with a manager who left the company? Still there.
Review every recurring event on every calendar. For each one: is this meeting still happening? Am I still expected to attend? Is the time still correct? Delete or decline anything that no longer serves a purpose. You just freed up hours of phantom busy-time.
Step 5: Update your working hours
Your availability shifts as engagements change. Maybe you dropped to three days with Client A and picked up two days with Client B. Maybe summer hours started and you are wrapping at 4 PM instead of 6 PM. If your working hours in manyCalendars do not reflect reality, the conflict detection cannot accurately flag meetings that land outside your actual availability.
Check your configured working hours. Update them to match your current schedule. This is especially important if you use availability sharing, since stale hours mean people get inaccurate windows.
